FollowUpOwl Privacy Policy

This policy explains what information Offstream LLC, the company that operates FollowUpOwl ("we," "us"), collects through the FollowUpOwl apps, website, and services, how we use it, and the choices you have. It covers two groups of people:
- Contractors who sign up and use FollowUpOwl ("you").
- Customers of contractors, meaning people who asked a contractor for an estimate and agreed to get texts from FollowUpOwl about it.
The short version
- We collect what's needed to follow up on quotes for contractors, and nothing more.
- We never sell personal information, and we never share phone numbers or opt-in consent with anyone for their own marketing.
- We don't show ads and don't use advertising trackers in the app.
- We don't record phone calls.
- If you text STOP, you stop getting all FollowUpOwl texts, for every contractor, period.
1. Information we collect
From contractors
- Account and business details: name, email, cell phone number, business name, legal name, trade, business address, time zone, and, for phone carrier registration, your EIN or a note that you're a sole proprietor.
- Billing: our payment processor Stripe collects your card details. We receive a record of your subscription and payments, the last four digits of your card, and its expiry date, not the full number.
- Content you add: quotes (job, amount, status), customer details, message wording, and messages you send and receive.
- Device and diagnostic data: device type, operating system, app version, and push notification token. If the app crashes, our crash-reporting provider, Sentry, receives a crash report with technical details and your account ID (not your name, email, or customer data) so we can fix the bug. We don't use analytics or advertising tools in the app, and we don't track what you do across other apps or websites.
- Website: our hosting provider keeps standard server logs (such as IP address and browser type) for security. Our website doesn't use advertising or analytics cookies.
From website visitors and the waitlist
- If you join our waitlist or contact us: your email, trade, and borough or area, and anything you choose to tell us. We use it to tell you about launch and early testing, and you can unsubscribe anytime.
About contractors' customers (provided by the contractor, or by you if you use a contractor's web form)
- Name, mobile number, the job and quote, the texts we send and the replies you send us, call records for the FollowUpOwl number (caller number and time), and a record of how and when you agreed to texts and any opt-out.
2. How we use information
- To provide the Service: schedule and send follow-up texts on behalf of the contractor, stop them when someone replies or opts out, pass replies to the right contractor, show the contractor's dashboard, and send login codes.
- To register our texting number with phone carriers, as they require.
- To bill subscriptions and prevent fraud.
- To provide support, send service messages (like trial reminders and receipts), and tell contractors about product changes. You can unsubscribe from non-essential emails anytime.
- To keep the Service secure, comply with law, honor opt-outs, and enforce our Terms.
- To fix bugs and improve the Service, using crash reports and feedback you send us. We don't use customers' message content for anything beyond running and troubleshooting the Service.
3. Text messages (SMS) and mobile information
- FollowUpOwl sends texts on behalf of the contractor a customer asked for an estimate, only after the customer agrees. Every text starts with "FollowUpOwl for [Business]:" and names that contractor. See our SMS Terms for message frequency and opt-out details.
- No mobile information will be shared with third parties or affiliates for marketing or promotional purposes.
- Reply STOP to end all FollowUpOwl texts and HELP for help.
4. How we share information
We share information only:
- With service providers that run the Service for us, under contracts that limit their use of it: Supabase (database, login, and account email), Twilio (text delivery and our texting number), Stripe (payments), Vercel and Cloudflare (website hosting and domain), Expo (app delivery and push notifications), Apple and Google (app distribution and push notifications), and Sentry (crash reports).
- With phone carriers and the industry registries they use, to register our texting number and deliver messages.
- Between a contractor and their own customers: replies a customer sends to FollowUpOwl are passed to that contractor.
- For legal reasons, if required by law, subpoena, or to protect rights, safety, and the integrity of the Service.
- In a business transfer, such as a merger or sale, where this policy continues to apply to the information.
All the above categories exclude text messaging originator opt-in data and consent; this information won't be shared with any third parties.
We don't sell or rent personal information, and we don't share it for cross-context behavioral advertising.
5. Contractors control their customers' information
When a contractor adds a customer, we handle that customer's information on the contractor's behalf and follow the contractor's instructions. If you're a customer and want your information corrected or deleted, contact the contractor, or email us at help@followupowl.com and we'll pass it along and help. To stop texts, reply STOP. That stop ends all FollowUpOwl texts, for every contractor, until you text START.
6. How long we keep information
- While your account is active: we keep your account data so the Service works.
- If you cancel or your trial lapses: we keep your data for 90 days so you can pick up where you left off. We email you 7 days before we delete it. After 90 days we delete it, except as listed below.
- If you delete your account: we delete your data right away, except as listed below.
- Opt-out (STOP) records are kept permanently, even after an account or customer is deleted, so a person who opted out never gets texted again.
- Consent records and records of messages sent are kept for 5 years, so we can show that messages were sent with permission.
- Billing records are kept as long as tax and accounting rules require (typically 7 years).
- Backups are overwritten within 30 days.
7. Deleting your account and your rights
- Delete your account anytime in the app at Settings > Account > Delete account, or by emailing help@followupowl.com. Deleting your account also cancels your subscription, so you won't be charged again.
- You can ask to access, correct, or delete your personal information, or get a copy of it, by emailing help@followupowl.com. We'll verify the request and respond within 45 days. Depending on where you live, you may have more rights under state privacy laws. We honor these requests for everyone, whatever state you're in.
8. Security
We use encryption in transit, access controls so each contractor sees only their own data, and limited staff access. No system is perfectly secure, and we'll notify you as the law requires if a breach affects your information.
9. Children
FollowUpOwl is for businesses and isn't directed to children under 13 (or under 18 for accounts). We don't knowingly collect children's information.
10. Where we process data
We're based in the United States, and our database is hosted in the United States (US East). The Service is intended for US contractors.
11. Changes
We'll post any changes here and update the date above. If a change is significant, we'll email contractors or tell them in the app before it takes effect.
